n8n vs Power Automate

There is no universal winner. There are Microsoft-native processes, multi-system flows and cases where an AI agent changes the equation. Magnum helps decide with business criteria, not technical preference.

A consultancy angle, not a vendor pitch

Power Automate shines inside Microsoft 365, Dynamics and Dataverse: identity, official connectors and governance IT already knows. n8n stands out when you need flexible orchestration, self-hosting, heterogeneous APIs or logic that standard connectors cover poorly.

AI agents do not default-replace either: they add document understanding, exceptions and assisted decisions. Often the right architecture combines deterministic automation + AI on the unstructured step.

Decision table (in bullets)

Use this as a starting point; diagnosis tunes the nuance by volume, compliance and internal team.

  • Choose Power Automate if the flow lives in Outlook, SharePoint, Teams, Dataverse or Dynamics and you want native Microsoft governance.
  • Choose n8n if you need self-host / VPC, many non-Microsoft systems, complex webhooks or fine runtime control.
  • Improve the Microsoft stack first if the pain is adoption, permissions or poorly designed flows—another tool is not always required.
  • Add an agent when input is unstructured (PDF, free-form email, variable invoice) or the rule does not fit if/else.
  • Avoid duplicating orchestrators: one process, one automation owner, shared metrics.
  • If there is ERP write or payments, require human approval and an audit trail—platform does not matter.

When “improve Microsoft” is the answer

Many organisations already pay for Power Automate and underuse connectors, environments and DLP. Before introducing n8n, we check whether the pain is architectural (environments, ALM solutions, naming, ownership) or a real product capability gap.

When the Microsoft stack is the system of work, strengthening it usually reduces support and audit friction. n8n enters when perimeter or logic clearly justify it.

How Magnum decides in a pilot

We map the process, systems of record and decision type (deterministic vs semantic). We propose the minimum viable layer: sometimes Power Automate only, sometimes n8n, sometimes an agent over documents with validated ERP posting.

Validation measures time, errors and operating cost. If the pilot does not prove ROI, we do not scale—not even “because the tool is modern”.
